I reduce the time required and make it possible to finish faster than usual.

Take meaningful notes. During a meeting, capture in an email all of the questions, resolutions, deadlines, and other takeaways from the meeting. After the meeting, edit the email message and send it as follow-up information from the meeting.

Communicate your availability. Don't waste time asking others when they're available. Instead set your own schedule and proactively communicate when you're free to connect.

Stop checking voice messages. Skip the time and effort that it takes to access and play voice messages. Instead, simply call back the person to address (or schedule a specific time to address) the matter in real time.

Have a hard stop. Make the most of your time by determining a start time and end time to discuss specific points.
